Drop in your year-to-date payroll register as a CSV or Excel file. Then sort each pay code into the province's seven columns, following the rules in the government's guidance, and download a file that passes the Reporting Tool's checks. It all runs in your browser, so no payroll data is uploaded.
From November 1, 2026, every provincially regulated B.C. employer with 50 or more employees must post a pay transparency report. In 2025 the rule applied to about 700 employers.
The province's tool needs a 7-column CSV. A payroll register has dozens of pay codes: regular, stat, vacation, 4% vacation pay, OT 1.5, shift premium, car allowance, retro, severance…
Vacation taken counts as ordinary pay, but vacation paid out is excluded. Stat pay is never overtime. Overtime hours don't count as hours worked. Special Salary is only for lump sums with no set hours.
The province's tool rejects a file row by row, for example when a row has hours but no ordinary pay, or overtime pay without overtime hours. This page runs the same checks as you map, and tells you how to fix each one.
Start with a payroll register covering one 12-month period: either the most recently completed calendar year or your fiscal year, ending no later than October 31 of the reporting year. You can export it one row per employee per pay code, or one row per employee with a column for each code. Use the YTD earnings or payroll register report.
Use the marker each employee gave you: M, W or F, X, or U. Anyone who didn't provide one is reported as U.
Suggestions follow the province's Guidance for Preparing Pay Transparency Reports. Rows highlighted orange are judgement calls, so read the note. Rows in red need a decision before you can download. Your choices are saved in this browser for next year.

It applies the guidance's definitions, and it flags any code where the guidance depends on facts it can't see, such as whether a leave was paid at 100%. You decide those, and you're responsible for the final report.
